Agreements for Retreats

These agreements are focused on our retreats, offering clarity and mutual understanding so we can gather with trust and ease.

Before You Book

Please read the information below with care before completing your booking.

To confirm your registration, you’ll need to complete and electronically sign the required forms via DocuSign. At this time, this is the only method we’re able to offer.

Once your registration is submitted, Wild Women Hawai‘i will be in touch within 48 hours to confirm your eligibility and welcome you into the retreat. If the required documents are not completed, we’ll issue a refund in alignment with our cancellation policy.

By booking, you agree to the Terms and Conditions that outline our relationship with you, including our cancellation policy and limitations of liability. These Terms are important, as they also establish the applicable law and process for resolving any issues that may arise.

We encourage you to read them carefully—they form the full agreement between you and Wild Women Hawai‘i LLC and are designed to create a clear, supportive foundation for your retreat experience.

Cancellation Policy

We understand that plans can change, and we aim to be as clear and fair as possible:

  • 60+ days prior: 80% refund of the total amount paid to Wild Women Hawai‘i (not including Eventbrite or payment platform fees).*

  • 45–59 days prior: 50% refund of the total amount paid to Wild Women Hawai‘i (not including Eventbrite or payment platform fees).*

  • 0–44 days prior: No refund due to the advanced planning and fixed costs involved in hosting.

(“Total amount paid” refers to payments made directly to Wild Women Hawai‘i, not including nonrefundable Eventbrite or payment platform fees.)

If the retreat is canceled, you will receive a full refund, including Eventbrite fees. If the retreat is rescheduled and you choose to cancel, third-party booking and payment processing fees are nonrefundable.

We’re unable to make exceptions to this policy—not out of lack of care, but because of the many unseen costs and commitments involved in preparing each retreat.

Because life can be unpredictable, we highly recommend purchasing CFAR (Cancel For Any Reason) travel insurance to protect your investment in case of unforeseen circumstances.

This policy reflects the time, cost, and preparation involved in holding this retreat. Thank you for your understanding and respect for the care behind this offering.

Participation Agreements

By attending this retreat, you agree to the following guidelines, which are here to support a safe, sacred, and respectful space for everyone:

  • This retreat is for adult women only. Visitors (including children and pets) are not permitted in the retreat area at any time.

  • This is a rain-or-shine event. We embrace the elements as part of our journey.

  • This is a substance-free retreat. Alcohol, drugs, smoking, vaping, and weapons of any kind are not allowed.

  • This is a fragrance-free retreat. Please do not bring or wear perfumes, colognes, essential oils, or strongly scented toiletries/products. (Some natural scents—such as herbs or light ceremonial smoke—may be present in intentional ways. Please care for yourself accordingly.)

  • You agree to take responsibility for your own decisions, actions, and results, and not hold Wild Women Hawai‘i LLC or related persons liable for your choices, outcomes, or experiences.

  • This is a closed retreat—we ask that you remain on-site and present from start to finish to maintain group trust and integrity.

  • Confidentiality is honored. Personal sharing is sacred and must not be shared outside the circle.

  • No photography or video of participants without consent. Wild Women Hawai‘i may share images to document the retreat; you’re welcome to share those once released.

  • Please limit technology use and embrace a phone-free retreat as much as possible.

  • Please keep work-related matters private and minimal during the event.

  • This retreat is not for sightseeing. You are encouraged to explore the island before or after; during retreat we stay grounded in one place to deepen inward experience.

  • We ask that religious proselytizing or political debate be set aside during the event.

  • Celtic-inspired, women-centered ceremonies, songs, and rituals may be woven throughout. Participation is always optional.

  • This is a non-commercial space. Please do not market, sell, or exchange goods or services during the retreat.

  • Meals are vegetarian, prepared in a kitchen that handles milk, wheat, soy, nuts, eggs, and other allergens. Please list restrictions in your form—last-minute requests cannot be accommodated.

  • The retreat includes outdoor physical activities. Please honor your body and move at your own pace.

  • Safety first: the schedule may adjust if weather or conditions make activities unsafe.

  • You are responsible for your own medical care and insurance. Emergency services may be contacted on your behalf if needed.

  • Please reach out with medical or mobility concerns before booking. Notify us if anything changes before the retreat.

  • You are responsible for any damages or injuries you may cause during the retreat.

  • The schedule is subject to change, though we strive to communicate clearly and respectfully.

  • Wild Women Hawai‘i honors and respects Native Hawaiian culture. We ask non-indigenous attendees to refrain from leading Hawaiian practices (such as oli or hula) during retreat.

  • All participants are expected to treat each other and the team with kindness and respect. Disruptive behavior, rudeness, or illegal substances may result in removal without refund.

  • Evening sharing circles and ceremonies are part of the retreat—we ask that you attend these to preserve the integrity of the container.

  • Discounts cannot be applied or refunded after booking is complete.

  • Wild Women Hawai‘i does not share contact information or email lists.

  • Special requests are welcome but cannot be guaranteed.

  • Wild Women Hawai‘i reserves the right to refuse service to protect the integrity and safety of the retreat experience.

The following agreements may sound formal, but they’re here to provide clarity, protection, and peace of mind—for both you and us.

 

Liability Release

In consideration of the risk of injury while participating in Wild Women Hawai'i Events (the

“Activity”), and as consideration for being allowed to participate in the Activity, I hereby, for

myself, my heirs, executors, administrators, assigns, or personal representatives, knowingly and

voluntarily enter into this waiver and release of liability and hereby waive any and all rights,

claims or causes of action of any kind whatsoever arising out of my participation in the Activity,

and do hereby release and forever discharge Wild Women Hawai’i LLC, affiliates, managers,

members, agents, attorneys, staff, volunteers, heirs, representatives, predecessors, successors,

and assigns, for any physical or psychological injury, including but not limited to illness,

paralysis, death, dismemberment, damages, economical or emotional loss, that I may suffer as a

direct result of my participation in the aforementioned Activity. I am voluntarily participating in

the aforementioned activity and I am participating in the activity entirely at my own risk. I am

aware of the risks associated with traveling to and from as well as participating in the activity,

which may include but are not limited to, physical or psychological injury, pain, suffering,

illness, disfigurement, and temporary or permanent disability. I understand that these injuries or

outcomes may arise from my own or others’ negligence, travel conditions, or the activity

location's condition. Nonetheless, I assume all related risks, both known or unknown to me, of

my participation in this activity, including travel to, from, and during this activity. I agree to

indemnify and hold harmless Wild Women Hawai’i LLC against any and all claims, suits, or

actions of any kind whatsoever for liability, damages, compensation, or otherwise brought by me

or anyone on my behalf, including attorney fees and any related costs. This Agreement was

entered without duress or coercion and is to be interpreted as an agreement between two parties

of equal bargaining strength. Both the Participant and Wild Women Hawai’i LLC agree that this

Agreement is clear and unambiguous as to its terms, and that no other evidence will be used or

admitted to alter or explain the terms of this Agreement, but that it will be interpreted based on

the language in accordance with the purposes for which it is entered into.

Liability Disclaimer: No Professional Advice

Please understand that this retreat is a personal growth experience and is not a substitute for

professional advice or support in areas such as mental health, financial planning, medical care,

legal guidance, or any other licensed field.

Nothing shared during the retreat—whether through teachings, conversations, or materials—

should be interpreted as professional medical, psychological, financial, or legal advice. If you are

in need of support in those areas, we encourage you to consult with a qualified professional.

Wild Women Hawai’i LLC, along with its hosts, speakers, team members, and collaborators,

cannot be held liable for any direct or indirect loss, damages, or decisions made in relation to

the retreat. This includes but is not limited to economic loss or outcomes stemming from your

participation in the retreat, use of retreat materials, or your personal interpretation of any of the

content offered.

To be clear:

You are fully responsible for your own decisions, actions, and outcomes. 

By attending this retreat, you agree not to hold Wild Women Hawai’i LLC or any affiliated parties liable for your

personal or professional choices - now or in the future - related to your experience at this retreat.

Infectious Illnesses Acknowledgment

By choosing to participate in this event, you acknowledge that illnesses such as COVID-19 and

other contagious viruses remain a risk in group settings. You understand and accept that

attending this retreat means you may be exposed to or infected by such illnesses, which can

potentially result in personal injury, illness, long-term health complications, or even death.

You also recognize that this risk may be related to the actions or omissions of yourself or others

including facilitators, volunteers, staff, or fellow participants and their families.

By attending, you voluntarily accept these risks and agree that Wild Women Hawai’i LLC is

not liable for any claims or consequences that may arise in connection with illness, whether it

occurs before, during, or after the retreat, and regardless of the cause.

Confidentiality & Use of Materials

By attending this retreat, you acknowledge that the tools, materials, ideas, and processes shared

throughout the event are the confidential and copyrighted property of Wild Women Hawai’i

LLC.

We ask that you honor the integrity of this work by not recording, copying, sharing, teaching,

or repurposing any part of the retreat content - in whole or in part - without our express

written permission.

This includes using the retreat structure, ceremonies, written content, or any proprietary

materials for your own workshops, retreats, or business offerings.

We trust in the spirit of sisterhood and respect that makes this space so unique, and we appreciate

your integrity in upholding these boundaries. Unauthorized use or distribution of retreat

materials may result in legal action to protect the work we’ve created.

 

 

Retreat Media Consent

By participating in this retreat, I understand that moments may be captured through photos or

video. I give my permission to Wild Women Hawai’i and its team to use any images, video,

audio, or testimonials that include me for purposes such as sharing the spirit of the retreat,

inspiring others, or promoting future events.

These images may appear on websites, social media, ads, or other materials created by or for

Wild Women Hawai’i. I understand that no compensation will be provided and that these

materials are the property of Wild Women Hawai’i LLC.

I release Wild Women Hawai’i from any claims related to the use of these images or recordings

and trust that all media will be used respectfully and in alignment with the values of the retreat.

If at any point I prefer not to be photographed or recorded during a specific moment, I will

communicate that clearly and directly with the event hosts.
