To ensure the integrity of our gathering and the sustainability of this offering, below are the terms of this retreat. These terms are not just legalities; they are the boundaries that protect your experience, the privacy of the women joining us, and the spirit of the land in Hilo. Please review them so you can arrive with a clear heart and full presence.

 

Wild Women Hawai’i LLC: Retreat Terms & Consent
Retreat: Her Blue Body: A Sensory Ocean Immersion for Women
Dates: August 9–12, 2026
Location: Hilo, Hawaiʻi

 

This Agreement is between Wild Women Hawai’i LLC (“Host”) and the undersigned Participant. To ensure the integrity of our somatic container and the sustainability of this offering, please review and accept each section.

1. Payments & Cancellation

 

Registration for the container is finalized upon receipt of full payment, including through flexible installment options like Klarna, Afterpay, or Affirm, to ensure a high-quality experience.

Participant Cancellation:

90+ days prior: Full refund of any balance paid minus a $500 non-refundable administrative fee.

60–89 days prior: 50% refund of any balance paid minus a $500 non-refundable administrative fee.

0–59 days prior: No refunds or credits will be issued due to advanced planning, venue commitments, and fixed costs.

 

Host Cancellation & Force Majeure: If Wild Women Hawai‘i LLC cancels the retreat for reasons within our control (e.g., low enrollment), you will receive a 100% refund of all amounts paid. This full refund applies solely to active participants; it does not apply retroactively to guests who canceled their attendance prior to the host's cancellation notice. In the event that the retreat is made impossible or commercially impracticable due to "Force Majeure" (acts of nature, volcanic activity, government travel restrictions, or other events beyond our reasonable control), Wild Women Hawai‘i LLC will issue refunds to the extent that we are able to recover funds from our vendors. Upon such refund, the Host shall have no further liability to the Participant.

 

Insurance: Because we cannot guarantee a 100% refund in Force Majeure scenarios, we strongly recommend Cancel For Any Reason (CFAR) travel insurance. We are unable to make exceptions to our refund policy for personal emergencies, illness, or travel disruptions.

 

 

2. The Retreat Container

 

A Rooted Experience: This is a closed retreat for adult women ages 21 and older. To maintain the sensory process, participants are expected to remain on-site for the duration and be present for scheduled sessions. There are no off-site excursions or transport to other parts of the island.

 

Substance-Free & Sensory Aware: This is a substance-free environment (no alcohol, drugs, smoking, or vaping). Please refrain from strong perfumes or fragrances to honor those with sensitivities.

 

Digital Detox & Presence: To maintain the confidentiality of our shared space and protect the inward nature of our work, phone use is strictly restricted during all facilitated circles and group ocean therapy. At all other times, we encourage a digital detox; please ensure devices are set to silent or shut down. If you must check your device, we ask that you do so in the privacy of your room to preserve the presence and stillness of the collective environment.

 

Cultural Kuleana: We honor Native Hawaiian culture. Non-indigenous participants are asked to observe local protocols with humility and refrain from leading traditional Hawaiian practices (hula, oli, etc.).

 

Non-Commercial Sanctuary: To ensure this remains a space for deep internal work rather than external transaction, this is a non-commercial and non-proselytizing space. The marketing, sales, or promotion of business offerings, religious views, or political agendas is not permitted. This includes the distribution of business cards, mailing lists, or products. We ask that you leave your "professional hat" at the door to fully inhabit your somatic experience.

Reverence for the Ocean: For your safety and the natural unpredictability of the sea, our immersion practices will remain fluid and we will adapt our plans if conditions are unsafe.

 

 

3. Physicality, Water Comfort, & Independent Free Time

 

Terrain & Environment: This retreat takes place in a natural, outdoor coastal setting involving stairs, uneven volcanic rock, and a protected ocean lagoon.

 

Lagoon Comfort: For our guided ocean therapy sessions, you confirm that you possess a baseline of physical mobility and water comfort. This includes the ability to comfortably stand, float, and submerge your body in an ocean lagoon. Strong swimming skills are not required for our guided group work.

 

Independent Free-Time/Free-Being Activities: Any ocean entry, swimming, or snorkeling outside of our guided group sessions (such as during free time or breaks) is undertaken entirely at your own discretion and solo risk. The Host does not provide lifeguarding, water surveillance, or supervision during free hours. If you choose to swim, snorkel, or enter the water independently during free time, you assume full responsibility for your safety and swimming ability.

 

Watercraft Boundaries: If you choose to use the paddleboards or kayaks, you agree to use them strictly within the calm, designated cold ponds. Under no circumstances are the watercraft to be taken past the reef, at Richardsons, or into the open ocean. You agree to wear a USCG-approved life jacket (PFD) at all times while using the watercraft. If you choose to explore independently during free time, you assume full responsibility for your safety and actions.

 

Assumption of Risk & Release: You voluntarily assume the risks inherent to natural outdoor environments. You release and hold harmless Wild Women Hawai‘i LLC, its owners, and contractors from any liability for injury, illness, or loss arising from your participation or your independent free-time activities.

 

Medical Authorization: In the event of a medical emergency, you authorize the Host to secure necessary medical treatment at your expense.

 

Scope of Practice: This is a sensory and personal growth experience. It is not a substitute for professional medical or psychological treatment.

 

 

4. Confidentiality, Peer Privacy, & Group Media Release

 

Confidentiality: Personal stories shared within our circle are sacred and must not be shared outside the retreat.

 

Peer Photography Ban: To preserve a secure container for deep somatic work, participants are strictly prohibited from taking photographs, videos, or audio recordings of other participants. You may not capture or share the image, likeness, or voice of any other attendee on personal devices or social media without their explicit, prior written consent.

 

Host Media Consent: By signing below, you understand that group photography and video capture are standard elements of this group experience. You grant Wild Women Hawai‘i LLC full permission to capture mindfully, edit, and use your image, likeness, or voice in non-intrusive photos or videos for respectful future marketing, web layout, and promotional purposes without compensation. The Host commits to using professional discretion and will never publish imagery that compromises your personal processing, vulnerability, or emotional safety. Media consent is a mandatory requirement for attendance.

Proprietary Process & Intellectual Property:

All materials, unique ceremonies, ocean therapy practices, and somatic processes shared during Her Blue Body are the sole intellectual property of Wild Women Hawaiʻi LLC. By participating, you agree that these signature frameworks and methods are shared exclusively for your personal growth and restoration.

You are strictly prohibited from recording, repurpose, commercially replicating, or teaching the retreat curriculum, facilitation methods, or format. You agree not to distribute or market these proprietary processes under any name for your own professional offerings, workshops, trainings, or client services.
